At Corvin, we believe the best trips start with trust — and trust starts before you ever sign anything.

Our four core values are simple: Simple. Deliver. Integrity. Loyalty. Everything we do is built around them. That means no surprises, no fine print designed to confuse, and no hidden agendas. Just a straightforward partnership focused entirely on curating the best possible experience for you and your group.

We make our Service Terms publicly available — before any conversation, before any commitment — because we think you deserve to know exactly what you're agreeing to before you engage with us. Read them, share them, ask us questions about them. That's the point.

1. Parties

These Service Terms govern all engagements between Corvin LLC, an Indiana limited liability company ("Corvin"), and the client identified in the signed Client Agreement ("Client"). The Client is acting as the trip organizer and enters into this agreement on behalf of themselves and all members of their traveling group.

2. Scope of Services

Corvin is a concierge coordinator — not a travel agent, licensed broker, or insurer. Specifically, Corvin does not:

3. Fees & Payment Terms

Service Fee

Corvin's fee for the services described in this agreement is as specified in the trip proposal:

The service fee is separate from any direct costs paid to third-party suppliers (courses, hotels, etc.).

Deposit

To commence trip planning, a deposit equal to 50% of the total service fee is due at the time the Client Agreement is signed. Planning will not begin until the deposit is received.

Balance Due

The remaining balance of the service fee (50%) is due upon the Client's approval of the final trip itinerary. All bookings and reservations will be confirmed after receipt of the balance. Corvin reserves the right to pause or suspend services if payment is not received upon itinerary approval.

Payment Methods

All payments are processed securely via Stripe. Accepted payment methods include credit card (Visa, Mastercard, American Express, Discover), ACH bank transfer, and other methods as made available through Stripe. All fees are denominated and payable in United States Dollars (USD).

Supplier Commissions

Corvin may receive commissions, referral fees, or other compensation from third-party suppliers in connection with bookings made on the Client's behalf. This compensation is separate from and in addition to the service fee paid by the Client. Corvin is committed to full transparency: supplier relationships are selected based on quality and fit for the Client's trip — not on commission rates. The Client's interests always come first.

Late Payments

Payments not received by their due date may result in suspension of services. Corvin will make reasonable efforts to notify the Client before suspending services.

4. Cancellation & Refund Policy

Client Cancellation

All cancellation requests must be submitted in writing to hello@thecorvin.com. The following schedule applies:

Less than 30 days before departure All fees paid are non-refundable; Client may also be responsible for any non-recoverable costs Corvin has paid directly to third-party suppliers on the Client's behalf, with full documentation provided

The cancellation date is the date Corvin receives written notice. Refunds, where applicable, will be issued within 14 business days via the original payment method.

Corvin Cancellation

In the unlikely event that Corvin cancels the engagement, Corvin will refund all service fees paid by the Client in full. Corvin is not responsible for non-refundable deposits or costs paid directly to third-party suppliers.

Third-Party Cancellation Policies

Third-party suppliers maintain their own cancellation and refund policies, which are entirely separate from this agreement. Client acknowledges that supplier cancellation fees and forfeited deposits may apply regardless of when the Client cancels with Corvin.

5. Third-Party Suppliers

Corvin as Coordinator Only

Corvin acts solely as a coordinator and intermediary. All reservations, bookings, and arrangements are made with independent third-party suppliers. Corvin is not a party to any contract between the Client and a third-party supplier and assumes no liability for the actions, omissions, or failures of any supplier.

No Liability for Supplier Issues

Corvin is not responsible for supplier cancellations, closures, or changes in availability; quality of services delivered by third-party suppliers; pricing changes, surcharges, or additional fees imposed by suppliers; or loss, damage, or injury arising from services provided by third parties.

Supplier Deposits & Prepayments

Corvin will always communicate with the Client before making any payments to suppliers on the Client's behalf, and will provide documentation of any such payments upon request. Once funds have been transmitted to a supplier, they are subject to that supplier's policies and Corvin has no control over their disposition.

Recovery Efforts

In the event of a supplier failure, Corvin will make commercially reasonable efforts to assist the Client in recovering funds from the supplier, but cannot guarantee any recovery and is not financially responsible for supplier-side losses.

6. Force Majeure

Neither party shall be held liable for failure or delay in performance caused by circumstances beyond their reasonable control, including severe weather or natural disasters, pandemics or government-imposed health restrictions, government actions or travel bans, golf course or venue closures not caused by either party, or transportation disruptions or infrastructure failures. In the event of a force majeure situation, Corvin will make reasonable efforts to rebook, reschedule, or recover costs on the Client's behalf.

7. Limitation of Liability

Cap on Liability

Corvin's role is to plan and coordinate — not to deliver the trip experience itself. That experience is shaped by third-party suppliers, weather, and circumstances outside anyone's control. For that reason, Corvin's total cumulative liability to the Client, regardless of the nature of the claim, shall not exceed the total service fees actually paid by the Client to Corvin.

Exclusion of Consequential Damages

These limitations are not meant to leave Clients without recourse — they reflect the reality that Corvin is a coordinator, not an insurer. Corvin cannot be held responsible for indirect or consequential losses beyond the service fee paid. Comprehensive travel insurance exists precisely to fill this gap, and Corvin strongly encourages every Client to secure it.

Personal Injury & Property Damage

Corvin coordinates logistics but is not present on the trip and cannot control conditions on the ground. Each participant is responsible for their own safety and wellbeing during travel.

8. Travel Insurance

Corvin genuinely recommends that every Client and group member secure comprehensive travel insurance before their trip — not as a formality, but because unexpected things happen, and good coverage means a hiccup doesn't ruin a great trip.

At a minimum, consider coverage for trip cancellation and interruption, emergency medical expenses, medical evacuation and repatriation, and baggage loss or delay.

Corvin is not licensed to sell or arrange insurance and does not endorse any specific provider. Sites like InsureMyTrip or Squaremouth make it easy to compare options. We're happy to point you in the right direction — just ask.

9. Client Responsibilities

Accurate Information

The Client agrees to provide complete and accurate information for all group members as required for reservations and travel arrangements, including legal names, dietary restrictions, accessibility needs, and any other relevant details. Corvin is not responsible for errors or issues caused by inaccurate or incomplete information provided by the Client.

Travel Documents

The Client agrees to ensure that all group members possess valid and current travel documents required for the trip, including passports, visas, identification, and any health or vaccination documentation required by destinations or suppliers. Corvin does not verify travel documents and assumes no responsibility for denied entry, boarding, or access resulting from inadequate documentation.

Group Communication

The Client, as trip organizer, is responsible for communicating all relevant trip details, policies, timelines, and expectations to all group members. Corvin's obligations run to the Client; the Client is responsible for managing their group accordingly.

Timely Response

The Client agrees to respond to Corvin's inquiries and requests for information in a timely manner. Delays caused by the Client's failure to respond may affect trip availability and are not the responsibility of Corvin.

10. Intellectual Property

All itineraries, research documents, vendor recommendations, trip plans, and related materials created by Corvin are the proprietary work product of Corvin LLC. The Client receives a personal, non-transferable license to use these materials for the purposes of their trip. In the event the engagement is terminated before completion, Corvin retains full ownership of all work product created to that point. This section survives termination or expiration of this agreement.

11. Confidentiality

Each party agrees to keep the other party's confidential business information in confidence and not to disclose it to third parties without prior written consent, except as required by law. Client information will be handled in accordance with Corvin's privacy practices.

12. Governing Law & Dispute Resolution

This agreement shall be governed by and construed in accordance with the laws of the State of Indiana, without regard to conflict of laws principles. Any disputes will be handled in Warrick County, Indiana. For disputes under $5,000, either party may bring a claim in small claims court. 13. Entire Agreement & Amendments

These Service Terms, together with the signed Client Agreement and any trip proposal incorporated by reference, constitute the entire agreement between the parties and supersede all prior negotiations, representations, and understandings, whether written or oral. Any amendments must be made in writing and agreed to by both parties.

14. Severability

If any provision of these Terms is found to be invalid, illegal, or unenforceable, the remaining provisions shall continue in full force and effect.

15. Notices

All formal notices under this agreement shall be in writing and delivered to Corvin LLC at hello@thecorvin.com, or to the Client at the email address provided in the signed Client Agreement. Notices sent by email are deemed received on the day sent, provided no delivery failure notification is received.
